This Privacy Policy describes how Color Technologies, Inc. ("Color," "we," "us") collects, uses, and shares information when you use the Color application, the withcolor.com websites, and related services (the "Service"). It is part of our Terms of Service. Color is a voice-first AI assistant, and an assistant is only useful if it knows you — so this policy is deliberately candid about how much the Service remembers and infers. If you read one section closely, read Section 2.
1. Scope of this policy
This policy covers personal information we handle when you use the Service, visit our websites, or communicate with us. It does not cover the practices of the third-party services you connect to Color (such as Google or Slack), which have their own privacy policies, or websites Color retrieves information from on your behalf.
2. Information we collect
2.1 Information you provide
- Account information. You sign in with Google. We receive your name, email address, and profile picture, and our authentication provider manages your account credentials on our behalf. We also keep account settings such as your timezone and preferences.
- What you say to Color. Color is voice-first. When you talk to it, your speech is captured and transcribed in real time so Color can respond. We retain transcripts of your conversations (both what you said and what Color said). Audio is processed as a live stream to produce those transcripts; we do not keep recordings of your voice.
- Content you create. Notes, to-dos, documents, and boards you make in the workspace; customizations you make to your assistant; and anything you dictate into these.
- Communications with us. If you email us or send feedback, we keep the correspondence.
2.2 Content from accounts you connect
If — and only if — you connect an account, we collect content from it to power the features you use:
- Gmail: your messages, including their content, senders, recipients, and metadata;
- Google Calendar: your calendars and events;
- Slack: messages and threads visible to your Slack account, and workspace directory information (names and handles of people in your workspace).
We store this content — including copies of the underlying data, extracted snippets, and facts derived from it — so Color can answer questions about it, prepare your morning brief, set reminders, and remember context. Section 6 describes additional limits that apply to Google data.
2.3 Information collected automatically
- Usage and device information: how you use the app (features used, sessions, interactions), your browser and device type, and identifiers tied to your account ID. Our analytics do not receive your name or email address.
- Approximate location: we estimate your city from your IP address (using a geolocation service) to provide local context such as weather and time. We do not collect precise GPS location.
- We collect technical diagnostic information needed to operate, secure, and troubleshoot the Service. Google user content and AI prompts or responses derived from Google user data are not used for advertising, general analytics, or training or improving generalized AI or machine-learning models.
2.4 Information Color infers about you — its memory
This is the part of the Service most policies would bury, so here it is plainly. Color builds and maintains a structured profile of you from your conversations and, if you connect accounts, from your connected content. That profile can include your name and date of birth, where you live and where you're from, your occupation and professional background, your education, daily routines and habits, hobbies and tastes, your family and close relationships, and how you prefer to communicate. If they come up in your conversations or connected content, it can also include sensitive characteristics — such as your health, ethnicity, sexual orientation, religious or other beliefs, and financial situation.
This profile exists to make Color a better assistant for you, and for no other purpose. You can see what Color understands about you in the Service's "About you" view, correct it by telling Color it's wrong, and delete it as described in Section 8. We do not use it for advertising, we do not sell it, and we do not disclose it except as described in Section 5.
2.5 Information about people you communicate with
Your email, calendar, and Slack inevitably reference other people. Color keeps a record of your contacts — names, email addresses, and handles drawn from your communications — along with short AI-generated descriptions, so it knows who you mean when you say "reply to Sam." Section 9 explains the choices available to those people.
3. How we use information
We use the information described above to:
- provide and operate the Service — including transcribing your speech, generating Color's responses, and syncing your connected content;
- remember context and personalize the Service for you, as described in Section 2.4;
- take actions you ask for — creating calendar events, setting reminders, preparing drafts, emailing you copies of conversations;
- prepare your briefings and reminders;
- send you service emails (reminder deliveries, conversation copies you requested, and account or policy notices);
- secure the Service, prevent abuse, and enforce our Terms;
- debug, analyze, and improve the Service; and
- comply with law and protect legal rights.
The general uses described in this section do not expand our use of Google user data. Google user data is governed exclusively by Section 6 below.
Three things we do not do. We do not sell your personal information. We do not use your information for advertising. And we do not use your conversations or connected content to train AI models for anyone else's use — your content is used to serve you.
4. AI processing of your information
Color's intelligence comes from AI models. To generate a response, the relevant parts of your conversation — and, when needed, context from your memory profile and connected content — are processed by AI model providers acting on our behalf. Today that includes:
- language models that produce Color's replies, briefings, drafts, and memory, accessed through an AI gateway and including models from providers such as Anthropic;
- speech-to-text that transcribes what you say;
- text-to-speech that produces Color's voice, which runs on our own infrastructure; and
- audio processing that cleans up microphone noise.
These providers process your information to provide the Service to us, under agreements that restrict them from using it for their own purposes, and we do not permit them to use your content to train their models.
5. When we share information
Service providers. We share information with vendors that process it on our behalf to run the Service — under contracts limiting their use to providing services to us:

- At your direction. When you ask Color to act — put an event on your calendar, email you a transcript, or (when the feature is enabled and you approve a draft) send an email from your account — the information involved goes where you directed it.
- Content you publish. If you use a sharing feature to make content public, it is public.
- Legal and safety. We may disclose information if we believe it is required by law, or necessary to protect the rights, safety, or property of you, us, or others.
- Business transfers. If Color is involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction; this policy would continue to apply to it until changed under Section 13.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
6. Google user data
Color's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.
We use Gmail and Google Calendar data only to provide or improve user-facing features that are visible and prominent within Color. These features include answering user-requested questions about email and calendar information, preparing briefings and reminders, drafting or sending emails at the user's direction, and reading, creating, updating, or deleting calendar events at the user's direction.
Color does not use Google user data for advertising, unrelated analytics, creditworthiness, or any purpose unrelated to these user-facing features. Neither Color nor its service providers use raw, aggregated, anonymized, or derived Google user data to train, fine-tune, create, or improve foundational or generalized AI or machine-learning models.
We transfer only the minimum Google user data necessary to service providers acting on our behalf to provide or improve these user-facing features, for security purposes, or to comply with applicable law. We do not sell Google user data. We will not transfer Google user data as part of a merger, acquisition, or sale of assets without obtaining the user's explicit prior consent.
Humans do not read Google user data unless the user has affirmatively consented to access to specific data, access is necessary for security or abuse investigation, access is required by law, or the data has been aggregated and anonymized for permitted internal operations.
Users may disconnect their Google account at any time through Color or their Google Account's third-party access settings. Disconnecting stops new collection. Users may request deletion of data previously obtained from Google by contacting hi@withcolor.com.
7. How long we keep information
- Conversations, memory, and content: kept while your account is active, so Color can keep being your assistant. Deleted when you delete your account (Section 8).
- Connected-account content: kept while the account is connected and your account is active; disconnecting stops new collection.
- Operational data: shorter windows — intermediate processing state is kept for days, draft-processing traces for weeks, and cached workspace directory data for about a week — after which it is deleted automatically.
- Diagnostics and analytics: kept for the period our providers are configured to retain them.
- After deletion: residual copies may persist briefly in backups before cycling out, and we may retain limited records where required for legal, security, or accounting purposes — including a minimal record that your account existed and was deleted, so your data stays deleted.
8. Your rights and choices
8.1 Controls in the Service
- See and correct memory: the "About you" view shows the profile Color maintains; telling Color something is wrong corrects it.
- Disconnect accounts: in the Service or via the provider's own security settings (for Google, your Google Account's third-party access page).
- Reminders: you can change or delete reminders, which stops their emails.
8.2 Access, deletion, and correction
Email hi@withcolor.com from your account address to request a copy of your information, correction of inaccurate information, or deletion of your account and its data. We will verify the request is really from you and respond as applicable law requires. Deleting your account deletes your conversations, memory profile, content, contact records, and connected-account data, subject to the limited retention described in Section 7.
8.3 California residents
If you live in California, the CCPA gives you rights to know, access, correct, and delete personal information, the right to opt out of sale or sharing (we do neither), the right to limit use of sensitive personal information, and the right not to be discriminated against for exercising these rights. The categories we collect are described in Section 2; sensitive personal information (Section 2.4) is used only to provide the Service you asked for, which is why no separate limitation control is required. Exercise any of these rights at hi@withcolor.com. You may use an authorized agent; we will verify the agent's authority and your identity.
9. If you are not a Color user
You may be in a Color user's data — as a contact, or in messages and events they connected — without being a user yourself. That information stays inside that user's assistant: it is not used to build profiles for advertising, not sold, and not shared except as described in Section 5. If you want information about you removed from a user's Color data, or have questions, contact us at hi@withcolor.com and we will handle the request as applicable law requires.
10. Security
We protect information with measures appropriate to its sensitivity: encryption in transit, encrypted storage of connected-account credentials, access controls that limit who and what can reach your data, and secrets management for our own systems. No system is perfectly secure — and the Service is an alpha — so we cannot guarantee security absolutely. If we learn of a breach affecting your information, we will notify you as the law requires. Report suspected vulnerabilities to hi@withcolor.com.
11. Children
The Service is for adults. It is not directed to anyone under 18, and we do not knowingly collect personal information from anyone under 18. If we learn we have, we will delete it and close the account.
12. Where information is processed
We are a U.S. company. The Service is offered to users in the United States, and information is stored and processed in the United States, where laws may differ from those of other jurisdictions.
13. Changes to this policy
As the Service evolves, this policy will too. If we make a material change — especially one that expands how we collect, use, or share personal information — we will notify you before it takes effect, by email to your account address or a notice in the Service. The effective date at the top tells you when it was last revised.
